Job description

What you’ll accomplish: 

Administration (approximately 60-80% of time)

·         Prepare, format, organize and file both basic and detailed department reports, letters, expense reports, documents and meeting minutes on a daily, weekly, monthly and annual basis while adhering to specific deadlines

·         Schedule and arrange facility rentals, travel bookings and catering

·         Assist with new employee orientations where needed

·         Process and track purchase requisitions and orders using SAP

·         Collaborate with other Administrative Assistants to develop, revise and improve upon our administrative procedures

 

Operational Excellence (approximately 10-20% of time)

·         Support the implementation of Operational Excellence tools and techniques, support their ongoing use, and quantify their results (e.g. 5S, problem solving, KPIs, Pareto, Manager-in-the-field, visual management)

·         Effectively facilitate group problem solving sessions

·         Identify or create key performance indicators to evaluate performance and encourage improvement

·         Find opportunities for improvement and develop action plans to address them

·         Actively connect with team members to encourage the use of OE strategies, tactics and tools

·         Support teams by implementing and coaching the use of performance tools as needed to solve issues

·         Maintain and refresh content on IMS & OE SharePoint sites as needed

·         Promote and provide guidance on the use of Operational Excellence and Data Governance tools and techniques in Saskatoon Office

 

Records Management & Document Control (approximately 10-20% of time)

·         Handle the receipt, printing, processing, and distribution of both electronic and hardcopy project documents for Mining Projects and Operations

·         Record and track the movement of incoming and outgoing project documents

·         Help the team locate physical and digital documentation and correspondence as needed

·         Convert files to appropriate format and organize them as directed by the Project Managers or designate

·         Share information with team by email, SharePoint or printed copies, as appropriate

·         Download and upload project documents using various file-sharing tools and platforms

·         Assist in the update and maintenance of department Quality documentation

Ideal qualifications

Qualities and skills we’re seeking:

·         Grade 12 diploma

·         Office Administration Certificate or Diploma is preferred

·         10+ years of relevant experience in Administration or an engineering environment

·         Must possess excellent typing and computer skills – advanced proficiency in Microsoft Office Suite including

Word, Excel, PowerPoint, Visio and Outlook is required

·         Experience using file-sharing software applications such as FTP sites and SharePoint is an asset

·         Experience in SAP is considered an asset

·         Organization and time management skills to coordinate efforts and meet deadlines

·         Able to work independently and under pressure

·         Able to make administrative and procedural decisions, and maintain confidentiality

·         Willingness to embrace continuous learning and takes initiative

·         Able to make assessments quickly and adapt to new situations

·         Detail-oriented, particularly in terms of data and document organization and filing

·         Must be able to maintain the confidentiality of the information handled

·         Cooperative and collaborative with the ability to work as part of a team

·         Effective communication skills

 

Work Location & Schedule: 

·         Saskatoon Corporate Office

·         Monday to Friday, 40 hours per week
